About the role

As our SEND Administrative Officer, you will play a vital role in ensuring that every child receives the support they need to thrive. Working 12hrs per week, term-time only.

Working alongside our SENDCo, Headteacher and wider staff team, you will provide high-quality administrative support that underpins the school's inclusive practice. Your work will help ensure statutory processes run smoothly, families feel supported and pupils with additional needs receive timely, well-coordinated provision.

This is far more than an administrative role. It is an opportunity to make a genuine difference to the lives of children and their families by ensuring every detail is managed with care, professionalism and compassion.

What does the role entail?

Supporting SEND Provision

  • Coordinate annual reviews, SEND meetings and EHCP administration.
  • Prepare and distribute meeting paperwork and reports.
  • Monitor statutory timescales and ensure deadlines are met.
  • Maintain accurate SEND records using Arbor and other school systems.
  • Support the SENDCo with referrals and documentation for external agencies.
  • Collate evidence for statutory assessments and reviews.

Working with Families and Professionals

  • Act as a welcoming first point of contact for parents and carers.
  • Liaise professionally with teachers, support staff, the Local Authority and external agencies.
  • Arrange meetings and manage SEND diaries.
  • Respond to enquiries with sensitivity, empathy and professionalism.

Keeping Everything Running Smoothly

  • Maintain organised, confidential and GDPR-compliant records.
  • Support the preparation of reports and documentation.
  • Ensure information is accurate, up to date and easily accessible.
  • Help the SEND team deliver an efficient, responsive and child-centred service.

You are confident using a range of IT systems and software, including Microsoft Office, Arbor (or similar Management Information Systems), email and cloud-based platforms. You are comfortable learning new technologies and using digital tools to improve efficiency and organisation.

You are open to using Artificial Intelligence (AI) tools appropriately to support administrative tasks such as drafting documents, summarising information, improving written communication and increasing efficiency. You understand the importance of using AI responsibly, maintaining confidentiality and ensuring all work is checked for accuracy before use.

Detail Focused

You take pride in producing accurate work, maintaining confidential records and ensuring statutory deadlines are met. You understand the importance of handling sensitive information with discretion.

A Great Team Player

You enjoy working collaboratively, are willing to support colleagues and contribute positively to the wider life of the school.

You work independently, use your initiative and can recognise when matters need escalating to the SENDCo or Headteacher.

The pro rata salary shown is based on the number of hours and weeks worked and includes appropriate paid annual leave and bank holiday entitlements.

The salary quoted is the annual salary for the position at the time of advert. The salary will be paid in equal monthly instalments and will be adjusted at the start of employment and again if leaving part way through the school year to ensure the correct salary is received for the work completed in an academic year.

This role is UK based and your Right to Work will need to be established as part of the appointment process.

Keeping Children Safe in Education

The Prince of Wales First School will conduct online searches of shortlisted candidates. This check will be part of a safeguarding check, and the search will purely be based on whether an individual is suitable to work with children. All aspects of social media and internet searches will be conducted. As care must be taken to avoid unconscious bias and any risk of discrimination, a person who will not on the appointment panel will conduct the searches and will only share information if and when findings are relevant and of concern.
